Carrier handover: confirming packed shipments leave the warehouse
In manual handover mode, packed shipments do not leave on their own. On the phone, pick the carrier, spot-check by scanning tracking numbers if you like, and confirm the handover — the shipments turn fulfilled. Short shipments hand over the picked quantity with a shortage reason.
When do you need this step?#
Warehouses run in one of two handover modes. In automatic mode a shipment is handed over as soon as packing finishes — nothing more to do. In manual mode, packed shipments wait at the dock until the carrier actually picks them up, and this page is where warehouse staff confirm "these boxes left with this carrier". Docklify ties the confirmation straight to the outbound shipment: once confirmed, the shipment status moves to fulfilled, so the office sees the same state as the dock.
Confirm a handover in four steps#
- Open Carrier Handover from the shortcuts on the phone home screen (you can pin it there). The page lists packed shipments waiting for handover, grouped by carrier.
- Pick the carrier in the dropdown — each option shows how many shipments are waiting. Switching carriers resets the selection to that carrier’s list.
- Check the list: every shipment starts out selected. Each card shows the shipment number, its tracking numbers with the parcel count, and the packing time. Untick anything that is not going on this truck — or tap Deselect all (next to Select all) to clear the whole list at once.
- Tap Confirm handover (N) — N is how many shipments you selected. Success shows "N handover confirmed" and those shipments become fulfilled; if any shipment fails, its number and the reason are listed so you can fix it and retry.
Spot-check by scanning (optional)#
Want to physically check boxes before they leave? Scan a parcel’s tracking number: the matching shipment gets a ✓ mark and is ticked for handover. Scanning every parcel is not required — it is a spot-check tool. If a scanned number is not in this carrier’s list, the page tells you right away, which usually means the box belongs to another carrier or has not been packed yet.
If a shipment is short#
If a shipment was ordered for more than was picked, confirming stops on that shipment and asks: hand over the picked quantity and record the rest as short? You must pick a shortage reason (the reason list is maintained in Master Data reason codes, category shortage) and tap Confirm short handover. Or cancel and sort the shipment out first — nothing is handed over for that shipment until you decide.
Common questions#
- The list is empty: there are no packed shipments waiting for handover in this warehouse — or the warehouse is in automatic mode, where shipments never wait here.
- I picked the wrong carrier: just switch the dropdown — the list reloads with that carrier’s shipments, all selected.
- Where did a confirmed shipment go? It is fulfilled — check it any time from the outbound shipment on desktop; the handover is part of its history.
