Invoice Generator: Create Invoices in the Browser

Last updated 2026-10-22

Pick one of four templates, fill in company and client details, add line items with automatic totals, preview live, then download a PNG or PDF — or save a draft in this browser.

The Invoice Generator (Utilities → Invoice Generator, /utilities/invoice-generator) makes a clean, printable invoice document right in your browser. Pick an industry template, fill in your company and the client, add line items — the amounts add up on their own — check the live preview, and download the finished invoice as a PNG or PDF. It is a quick one-off document tool: the invoice is not saved as a receivable in the system, and the downloaded file is the copy you send and keep. For invoices that must be tracked, paid and reconciled inside Docklify, use Accounting → Invoices (AR) instead.

Step 1: Pick a template#

  1. Open Utilities → Invoice Generator. Four template cards are shown at the top of the page.
  2. Click the template that fits. Its sample line items, terms and payment terms load into the form right away.
  3. Replace the sample lines with your real ones in Step 4 — the samples are only a starting point.
  • General Invoice — free-form goods or services lines; payment terms NET 30.
  • Commercial Invoice (for customs) — extra HS code and country-of-origin columns on every line, for export customs clearance.
  • Service Invoice — consulting, design and technical services billed by hour or by project; payment terms NET 15.
  • Warehousing & Freight Monthly Statement — a monthly 3PL statement: pallet storage, receiving, pick & pack, trucking and system fees in one invoice.

Step 2: Fill in your company and the client#

  1. Under Your company, enter the company name, address, phone and email. These appear at the top of the invoice as the issuer.
  2. To show a logo, click Upload logo in the same card and pick an image file — it appears at the top-left of the invoice. Click × next to it to remove it.
  3. Under Bill to, enter the contact name, the client company, its address and email.

Good to know: switching templates in Step 1 reloads the line items, terms and payment terms, but it keeps the company and client details you already typed — so you can change your mind about the template without re-typing addresses.

Step 3: Set the invoice details#

  • Invoice No. — filled in automatically in the form INV-YYYYMMDD-### (date plus a random number). You can overwrite it with your own numbering.
  • Issue date and Due date — pick both from the date pickers; the issue date starts as today.
  • Payment terms and Bank / payment info — the terms come from the template and can be edited; the bank line (bank name, account, SWIFT) is optional free text printed for the client to pay against.
  • Discount (USD) and Tax rate (%) — a fixed discount amount taken off the subtotal, and the tax rate applied after the discount. All amounts on this page are in US dollars.

Step 4: Add the line items#

  1. Click Add row in the Line items card and fill in the description, quantity, unit and unit price in the dialog. On the Commercial Invoice template, also fill in the HS code and origin for each line.
  2. Click any existing row to edit it in the same dialog.
  3. Use the up / down arrows on a row to change its order on the invoice; use the delete button to remove it.
  • The amount of each line (quantity × unit price) and the totals are calculated for you — you never type a total.
  • How the total is built: Subtotal − Discount = taxable amount; Tax = taxable amount × tax rate; Amount due = taxable amount + Tax.
  • The discount can never exceed the subtotal — if you type a larger number, it is capped at the subtotal.

Step 5: Check the terms, notes and preview#

The Terms & notes card starts with the template’s standard terms (late fees, dispute window, monthly-statement rules and similar) — read them and edit the wording if your agreement differs, and add any free-text notes. On the right, the Invoice preview updates as you type: issuer and Bill to blocks, the line table, the totals, the payment and bank details, and signature lines for Issued by / Confirmed by / Date at the bottom. If you picked the Commercial Invoice template, keep the declared details consistent with the actual goods — the same shipment data is what your customs paperwork relies on (see Customs → Declarations).

Step 6: Download the invoice, or save a draft#

  1. In the Download card, choose the PDF paper size first: A4 (210 × 297 mm) or Letter (8.5 × 11 in). The paper size only affects the PDF.
  2. Click PDF to download a print-ready PDF file, or PNG to download the invoice as a single image — handy for sending in a chat or email.
  3. Not finished yet? Click Save draft, and Load draft later to pick up exactly where you left off.
Drafts and the whole form live only in this browser on this computer — nothing is uploaded or saved in Docklify, and the page keeps a single draft (saving again overwrites it). Clearing the browser’s site data deletes the draft, and a draft saved here cannot be opened on another computer. Once an invoice is final, download the PDF or PNG and keep that file as your record.
