Creating orders: manual, import, channels, portal, CRM

Last updated 2026-10-13

The five ways an order enters OMS, required fields, the import template, and draft editing rules.

All five creation paths funnel through the same shared create routine, so validation and numbering are identical no matter where the order comes from.

The five entry points#

  • Desktop manual order — the New Order page, creates a draft.
  • Excel/CSV import — upload rows; rows sharing a channel_order_no become one order.
  • Channel pull — fetch orders from connected sales channels.
  • Merchant Portal — merchants create orders on your behalf (ship_mode can be parcel/ltl/ftl).
  • CRM deal conversion — convert a won deal into an order.

Manual order: required fields#

  • customer_id plus at least one order line (item_id and ordered_qty greater than 0); empty lines are rejected.
  • If you leave ship_to blank, the customer default address is used; country defaults to US, currency to USD, UOM to EA.
  • carrier_code must exist in the shared carrier catalog; service_code is free text.
  • Order total = subtotal − discount + shipping_fee + tax; line_total = qty × price.

Import template and merge rules#

  • Required columns: channel_order_no, customer_name, sku, qty. Optional: channel_code, ship-to fields, unit_price, required_ship_date, note.
  • Rows are validated one by one (SKU must exist, qty > 0, channel_order_no not duplicated). Failed rows are skipped; successful rows are not affected.
  • A missing customer is auto-created (code IMP-YYYYMMDD-####). The result reports imported rows and failed rows separately.

Editing a draft#

  • Only draft and pending_review orders can be edited; later states return NOT_EDITABLE.
  • Lines are replaced wholesale (old lines deleted, new lines inserted) and totals are recalculated.
If any order line fails to save during creation, the order header is rolled back too — you will never get a header with no lines.
