TMS: freight billing

Last updated 2026-10-14

Build freight bills (FB-), audit them against quoted costs within tolerance, add accessorials, file claims, and split by merchant.

When the freight is delivered, the carrier sends a bill asking for money. The freight bill (bill numbers look like FB-20261014-0001) settles "how much we should pay": audit the bill against the original quote (flag it if the gap is too big), split it across cargo owners, then pay.

Build a freight bill (FB-)#

  1. Open tms/billing → New bill: pick the carrier and the billing period.
  2. Add bill lines one by one: each line links a merchant (cargo owner) and a transport order, then pick the split basis — by pallet (pallet), by weight (weight), or evenly (even) — and fill quantity and amount.
  3. Save: the bill gets a number like FB-YYYYMMDD-0001 and starts as a draft.
  4. Keep two numbers in mind: quoted_cost is the price agreed at dispatch/acceptance; actual_cost is what was really spent. Auditing compares these two.

Audit the bill#

  1. Click Audit and set the tolerance (tolerance_pct, default 2%).
  2. The system compares line by line: bill amount vs the order’s quoted cost. Lines over tolerance are marked disputed, with the quoted amount, variance, and variance percent written on the line.
  3. The overall verdict lands on the bill: matched (everything checks out) or disputed (something needs a talk), plus who audited and when.
  4. Bill statuses: draft → sent → paid; a disputed bill goes through the disputed path.
Delivered never becomes billed on its own — delivered → billed is a manual step, so remember to push it. And billed is final: there is no reversal, so double-check before marking a bill as billed.

Accessorials (extra charges)#

  • detention (等时费): the truck arrived but loading/unloading took too long — waiting-time charge.
  • redelivery (二次派送): the first delivery failed, so the truck had to run again.
  • liftgate (尾板费): the destination has no dock, so the truck’s tail lift did the unloading.
  • lumper (装卸工费): paying lumpers to load/unload the freight by hand.
  • tarp (篷布费), team_driver (双司机), hazmat (危险品附加), other (其他). An accessorial can hang on an order or a shipment, and carries billable/billed flags so it ties back to the bill.

Claims#

  • When to file: damage (货损, freight was damaged), loss (丢失), shortage (短缺, quantity did not match), delay (延误), or other — asking the carrier to pay up.
  • A claim can link an order, a shipment, a carrier, and a merchant, with the claimed amount (claimed_amount).
  • Statuses: open → investigating → resolved / denied / closed.
  • The POD photos in the Documents center are the most direct evidence when you file a claim.
Carrier master data lives in tms/carriers: rate tables (by lane/mode/unit), a scorecard for on-time performance, and an invite that brings the carrier into the Carrier Portal for tenders.
Freight bill audit on a desk: carrier invoice lines compared against quoted costs, variance flagged
Billing: build the bill, audit against the quote, then pay.
