CRM leads: capture and qualify prospects

Last updated 2026-10-14

Create leads with company, contact, source, and tags; move them new → contacted → qualified; convert qualified leads into companies + primary contacts with one click.

A lead is a potential customer you have not done business with yet — a business card from a trade show, a website inquiry, a referral. Use this page whenever a new potential customer appears: write it down here first, then decide later whether it is worth pursuing.

Create a lead#

  1. Open the Leads page and click New.
  2. Fill in company name, contact name, email, and phone — company name identifies the prospect.
  3. Pick a source (10 options, e.g. trade show, website, referral) and an industry (10 options) — this tells you later where your best leads come from.
  4. Add tags for anything the fixed fields do not cover (e.g. "cold storage", "needs quote this week").
  5. Assign an owner so it is clear who is responsible for following up, then save.

Lead states#

A lead moves through states like a conveyor belt: new (just recorded) → contacted (you reached out) → qualified (worth pursuing) or unqualified (not a fit). Only the convert action can set the "converted" state — you cannot type it in by hand.

Use tags freely: they are the easiest way to group leads for a specific campaign later (e.g. tag all "trade-show-2026" leads now, filter them next month).

Convert a qualified lead#

Conversion is the moment a lead "graduates": with one click the system creates a Company record (the customer account) plus a primary Contact (the main person), and marks the lead converted. From then on you work with the company and contact, not the lead.

  1. Open the qualified lead and click Convert.
  2. Confirm the company name and primary contact details in the dialog.
  3. After conversion, the lead shows as converted and you can find the new company under Companies and the contact under Contacts.
Do not convert too early: once converted, the lead leaves the lead list. Convert only when the prospect is real enough to become a customer account.
