Fleet overview: one home for every truck, van and yard tractor

Last updated 2026-10-15

Fleet is the fleet management app (in the spirit of Fleetio): vehicle files, preventive maintenance, repair orders, daily DVIR inspections, fuel, cost per vehicle, drivers, and a reminder hub. Heavy lifting on desktop, quick jobs on the phone.

If the warehouse has an asset registry, the trucks need one too — except a truck is not a forklift: it has a plate, a VIN, insurance, an annual inspection, fuel bills and a driver. Fleet is where all of that lives. Eight modules, one file per vehicle, and a dashboard that shows fleet health at a glance.

The eight modules in one sentence each#

  • Vehicle files — plate, VIN, make, model, year, odometer; documents (insurance, annual inspection, registration) with expiry reminders.
  • Preventive maintenance — service plans by time or mileage ("every 5,000 miles or 3 months, whichever comes first"), a calendar view of the whole fleet, one-tap work orders when due.
  • Repair orders — from a phone photo report to dispatch → fix → accept → settle, reusing the Tickets engine.
  • Daily DVIR inspection — before/after the trip, one big card per item on the phone; fails lock the truck automatically.
  • Fuel — 30-second refuel logging on the phone; MPG trends and theft/leak alerts on desktop.
  • Cost per vehicle — fuel + repairs + insurance + depreciation in one place; see which truck burns the most money.
  • Drivers — who drives which truck, driver profiles reused from People, license expiry reminders.
  • Reminder hub — insurance / inspection / document / maintenance / license expiries, sorted by urgency.

A vehicle’s life, start to end#

Desktop vs phone: who does what#

  • Desktop (office, big screen): vehicle files, maintenance plans and the calendar, cost analysis and reports, repair dispatch.
  • Phone (standing next to the truck): daily DVIR inspection, 30-second refuel logging, photo fault reports, scan the QR on the body to see the vehicle file.
  • Both: work order progress, reminders, driver-vehicle binding.
Fleet is the house of the truck; the people who use it are in TMS, Drayage and YMS. When TMS dispatches an order, it can only pick vehicles with status "In use" — a truck under repair is automatically excluded.
