CRM Sequences: Automated Follow-up Sequences
Build a sequence of email and wait steps, enroll leads, and let Docklify send on schedule while you track opens, clicks, and every enrollment.
A sequence is a fixed follow-up routine: send an email, wait a few days, send the next one. Instead of remembering who needs a nudge today, you write the routine once in CRM → Sequences, enroll leads into it, and the system sends each step on schedule and records opens and clicks for you.
Step 1: Create a sequence and lay out its steps#
- Open CRM → Sequences and click "+ New sequence".
- Fill in the basic info: a name (required, up to 120 characters) and an optional description (up to 500 characters).
- Add steps with "+ Email step" and "+ Wait step". Steps run in order, top to bottom.
- For each email step, pick the email template it should send, and set "Wait (days)": how many days to wait after the previous step finishes before this one runs (0 and 2 gives you a Day 1 / Day 3 rhythm). Add a short note if you want to remember why the step is there.
- Click "Create sequence". A new sequence starts as a draft and does not send anything yet.
Email steps do not hold the email text themselves — each one points at a reusable template maintained in CRM → Templates. Write the wording once as a template, then reuse it across as many sequences as you like.
Step 2 (optional): Let stale leads enroll themselves#
- On the new-sequence page, find the "Auto-enroll" card and tick the checkbox.
- Set "Stale days" (1–90, default 7): leads that stay in "new" status with no follow-up for that many days are enrolled automatically.
Step 3: Activate the sequence and enroll leads#
- On the sequence detail page (or in the list), click "Activate". Only an active sequence sends.
- Click "+ Enroll leads", tick the leads you want (the picker only lists leads that have an email address), then click "Enroll".
- Leads that have unsubscribed are never enrolled, and a lead that is already in the sequence is skipped — the result message tells you how many were enrolled.
The sequence list in CRM → Sequences is your control panel for the whole set: search by name, filter by status (Draft / Active / Paused / Archived), and see at a glance how many steps each sequence has, how many enrollments are currently active, and how many leads it has taken in total.
Step 4: Watch progress and handle exceptions#
- Steps tab on the detail page: every step shows its sent / opened / clicked counts, so you can see which email in the chain is doing the work.
- Enrollments tab: each lead shows its status (Active / Paused / Completed / Exited / Unsubscribed / Bounced), which step it is on, and when the next step runs. You can pause, resume, or remove a single lead without touching the others.
- Email logs tab: one row per email actually sent — recipient, subject, status (Queued / Sent / Failed / Skipped), and whether it was opened or clicked. Start here when someone says "I never got that email".
- Pause stops the whole sequence from sending until you activate it again; Archive takes it out of use from the list or the detail page. Individual leads keep their own status either way.
