Workflow automation: if this happens, then do that

Last updated 2026-10-15

Three triggers (deal stage changed, new lead created, quote status changed), AND-conditions, and four actions: send email, create task, assign salesperson, update field. Set it once and stop doing follow-ups by hand.

A workflow is one plain rule: IF something happens, AND the extra conditions are true, THEN do these actions in order. Three things can trigger a rule — a deal moving to another stage, a new lead being created, or a quote changing status — and each run is logged so you can see exactly what the rule did.

Build a rule in 3 steps#

  1. New workflow — give it a plain name ("Notify owner when deal is won") and flip Enabled on.
  2. IF + AND — pick a trigger (Deal stage changed, New lead created, Quote status changed), optionally narrow it (from stage → to stage, or a lead source), then Add condition as needed: field, operator (equals / not equals / ≥ / ≤ / contains), value.
  3. THEN — Add action and pick: Send email, Create task, Assign salesperson, or Update field. Actions run in order. One rule is never blocked by another failing rule.

Check the run log#

  • Open a rule and look at its runs: the 50 most recent are shown, each with the trigger, the record it ran on, and a result — success, partial, failed or skipped.
  • Skipped usually means the AND-conditions did not match — check the rule, not the data.
Name rules after the business moment, not the mechanism: "Notify owner when deal is won" is clearer next quarter than "rule-7-deal-won".
