Purchase: POs, ASNs, and receiving write-back

Last updated 2026-10-13

Manually create POs, approve, build ASNs, release to WMS, and watch WMS receiving write quantities back.

Purchase manages buy-side documents: purchase orders (PO-000001), advance shipping notices (ASN-YYYYMMDD-0001), and the receiving variances that come back. POs are created manually — nothing auto-generates them from OMS stock-outs.

Core workflow in 5 steps#

  1. Create the PO (draft): vendor (from shared_vendors), warehouse, lines with qty and price; totals auto-sum.
  2. Submit for approval, then approve (or reject back to draft). Approval can auto-create an ASN and auto-push it to WMS if those switches are on.
  3. Build the ASN from the PO (lines copy over, carrier defaults from the vendor); send it to create/link the WMS inbound receipt.
  4. Or release the PO directly: approved → released, creating the WMS inbound receipt idempotently.
  5. Receiving happens in WMS; on receipt completion WMS writes back each PO line’s received_qty (full recalculation) and variance_qty = ordered − received. Review variances on the variances page.
  • WMS — the inbound receipt created by release/ASN is where receiving, putaway and counting happen.
  • Vendors are shared master data (shared_vendors) with WMS suppliers — one vendor record for both.
Only draft POs/ASNs can be edited or deleted. A released PO can only be cancelled before WMS receiving starts; once receiving has begun it cannot be cancelled.
