Spare parts: know you have it before the machine breaks
Parts master data with live stock: part number, category, safety stock and reorder point. In/out/adjust moves per part; anything below its reorder point shows red at the top.
The worst part of a repair is not the repair — it is finding out the part is not on the shelf. This module is the parts room ledger: every kind of part gets a number (FILTER-001…), a name, a category, a safety stock, a reorder point and a plain-words location ("Parts room, aisle A, shelf 3"). Stock is always computed live from the movement history, so the number on the list is the number on the shelf.
Add a part: what each field means#
- Part no. — unique within your company (FILTER-001…). Pick a scheme you can read at a glance.
- Category — filters, tires, batteries, oils, electrical, hydraulic, consumables, other. It powers the list filter.
- Safety stock — the cushion you never want to touch. Reorder point — the line that triggers the red alert (stock ≤ reorder point).
- Location — plain words ("Parts room, aisle A, shelf 3") beat a code nobody remembers.
In, out, adjust: recording a move#
- Inbound — positive quantity. Buying parts, returns to the shelf.
- Outbound — negative quantity. Parts used in a repair (you can link the repair record in the ref fields).
- Adjustment — positive or negative, never zero. The once-a-quarter count says the shelf has 8 but the system said 10? Adjust.
- The move dialog also shows the last 20 moves for that part — a quick way to see who took what, when.
The red alert: reorder points#
Anything at or below its reorder point jumps to a red alert banner at the top of the page — part number, name and current stock, so you know what to order before the next breakdown. The same part also shows a red "Low stock" tag in the list, and its stock number turns red.
