Retailers: Retailer Master Data for Outbound Distribution

Last updated 2026-10-28

Keep one record per retailer — Amazon, Walmart, Target and more — so UCC and packing-list templates and To-B outbound orders link to the record instead of free text, with a clear flag for who requires UCC-128 / SSCC labels.

A retailer record is the warehouse’s single answer to “who is this shipment going to?”. Instead of typing a retailer’s name as free text on every document, you keep one record per retailer in WMS → Master Data → Retailers, and the things that depend on the retailer — UCC and packing-list templates, and To-B outbound orders — link to that record. Set the record up once, spell it right once, and every later document picks the same retailer.

Step 1: Create a retailer#

  1. Open WMS → Master Data → Retailers and click “+ New retailer”.
  2. Enter the code: short, lowercase — for example walmart or amazon-vendor. Whatever you type is converted to lowercase as you type.
  3. Enter the retailer’s name as it should appear on documents, and add notes for anything the warehouse team should know about this retailer.
  4. If this retailer requires UCC-128 / SSCC labels, tick “Requires UCC-128 / SSCC labels”. Then click Create.
  • Code and name are both required — the form will not save without them.
  • The code cannot be changed after creation. Pick it carefully: it is the stable handle that templates and orders link to, while the display name can still be corrected later.
  • One record per retailer: if a retailer is already in the list, open that record instead of creating a second one with a slightly different code — two records for the same retailer split its templates and orders between them.

That UCC tick is not decoration: the list in WMS → Master Data → Retailers shows “UCC required: Yes / No” for every retailer, and a “Requires UCC only” filter lets you pull up exactly the retailers whose shipments need UCC-128 / SSCC labels before a To-B run.

Step 2: Find a retailer in the list#

  1. In WMS → Master Data → Retailers, type part of the code or name into “Search code / name”, then click Search.
  2. Tick “Requires UCC only” if you only want retailers with the UCC flag, and tick “Show inactive” if the retailer you want has been deactivated — by default the list only shows active retailers.
  3. Read the row: code with the name under it, UCC required Yes / No, the two template status columns, notes, and status. The count above the list tells you how many retailers match. Reset clears the search and both ticks.

Step 3: Edit a retailer#

  1. In WMS → Master Data → Retailers, click the retailer’s code in the list to open its edit page.
  2. Change the name, the notes or the UCC tick as needed. The code field is locked — it stays exactly as created.
  3. Click Save. The change applies to documents created from now on; documents already made keep the retailer link they were created with.

Step 4: Check which templates this retailer will use#

  1. In the list, read the two template status columns — “UCC templates” and “Packing list template”: Dedicated means the retailer has its own template, Default (standard) means printing falls back to the shared standard template, None means no usable template exists yet, and Not required appears for retailers without a UCC requirement.
  2. Open the retailer’s edit page and scroll to “Linked templates”. Each of the three slots — UCC Pallet, UCC Carton and Packing List — shows the template that would actually be used, rendered with sample data, with its name, version and last update. Docklify shows this on the same page where you maintain the retailer, so a missing template is spotted while you set the retailer up, not at print time.
  3. Click “View / edit” on a card to open that template’s own page and change it there. If a slot falls back to the standard template, the card also offers “New dedicated template” and “Clone standard as dedicated”; if no template exists, it links straight to creating one. Retailers with no UCC requirement show “No UCC requirement” on the UCC cards instead of a preview.

Step 5: Deactivate a retailer you no longer ship to — and bring it back#

  1. Open the retailer in WMS → Master Data → Retailers and click Deactivate on its edit page, then confirm.
  2. A deactivated retailer disappears from the default list (tick “Show inactive” to see it, shown faded) and is no longer offered on new documents. Its existing template links stay in place — nothing already set up breaks.
  3. Changed your mind? Open the same record (with “Show inactive” ticked) and click Reactivate — the retailer is offered on new documents again.
There is no hard delete for retailers, on purpose: deactivating is how you retire one. That keeps every UCC and packing-list template and every older To-B order pointing at a record that still exists, so history stays readable years later.
The life of a retailer record: create once, link everywhere, retire by deactivating

Docklify features used in this article#

  • Retailer list with code / name search, “Show inactive” and “Requires UCC only” filters — WMS → Master Data → Retailers (/wms/master/retailers)
  • Retailer form: code (lowercase, fixed after creation), name, notes and the Requires UCC-128 / SSCC labels tick — WMS → Master Data → Retailers → New / click a code (/wms/master/retailers/new)
  • Deactivate / Reactivate on the retailer edit page (existing template links are kept) — WMS → Master Data → Retailers → open a retailer
  • Linked templates on the retailer edit page: three preview cards (UCC Pallet / UCC Carton / Packing List) plus template status columns in the list — WMS → Master Data → Retailers → open a retailer
  • Retailer records as the link target for UCC / packing-list templates and To-B outbound orders — picked from the retailer master data instead of typed as free text
