LabelFlow Shipments: Creating Shipments and Buying Labels

Last updated 2026-10-22

Find any label shipment in one list, follow its status from draft to printed, and open it to check addresses, packages, rate options and the label result.

A LabelFlow shipment is the record behind one label job: who it ships to, what packages it carries, which carrier service was asked for, what the label cost, and the tracking number it ended up with. Shipments arrive on the list with a source — import or manual — and move through plain statuses: draft, quoted, printed or failed. The Shipments page — LabelFlow → Shipments (/labelflow/shipments) — is where you find a shipment, check where it stands, and open it to see the full detail.

Step 1: Find a shipment in the list#

  1. Open LabelFlow → Shipments. The newest shipments are listed with their created time, source, merchant, recipient, package count, requested carrier, status and tracking number.
  2. Narrow the list with the filters at the top: pick a merchant, a source (import or manual), or a status (draft, quoted, printed or failed).
  3. Click Search to apply the filters, or Reset to clear them and see the whole list again.
  • Source tells you how the shipment got here: import means it came in as a batch, manual means it was entered by hand. It is the fastest way to split “everything from today’s import” from one-off shipments.
  • The tracking number column stays empty (“—”) until a label exists; once a shipment is printed, the number shows here and on the detail page.
  • The list shows 20 shipments per page; use the pager at the bottom for older ones.

Reading the four statuses#

  • draft — the shipment record exists, but no label has been bought for it yet.
  • quoted — rate options have been worked out for the shipment; open the detail page to compare them.
  • printed — a label was bought; the detail page shows the label info with its tracking number, carrier cost and charged amount.
  • failed — buying the label did not go through; the detail page shows a Failure reason card that says why, in plain words.

Step 2: Open the shipment detail#

  1. Click View at the end of the shipment row. The detail page opens at LabelFlow → Shipments → that shipment (/labelflow/shipments/…); use the Back button at the top to return to the list.
  2. Check Basic info first: status, source, merchant, created time, and the full Ship from and Ship to addresses.
  3. Then check the Packages table: each package with its weight, dimensions, quantity and description. If an address or a package looks wrong, this is the page that proves it before anyone argues about the label.

Step 3: Compare the rate options#

When a shipment has been quoted, its detail page shows a Rate options table. Each row is one service: service name, carrier, the mapped real service behind it, transit time, the carrier cost, and the amount charged. The first row carries a gold “Cheapest” tag, and the option that was selected for the label is highlighted, so you can see at a glance what was picked and what it beat. These services come from the carrier service list you keep in Master Data → Carriers (/master-data/carriers) — if an expected service never shows up here, check that list and the comparison rules in Master Data → Rate Shopping.

  • Cost is what the carrier charges; Charged is what the merchant is billed. The gap between them is the markup, and the Markup source column says where that markup came from.
  • Cheapest is decided on price alone. A slower cheap service is not always the right pick — read it together with the transit time column.

Step 4: Check the label result — or the failure reason#

  1. If a label was bought, the right side of the detail page shows a Label info card: the tracking number (with a Copy button next to it), the carrier cost, the charged amount, and the label order it belongs to.
  2. To follow the paper trail further, take the tracking number to LabelFlow → Labels (/labelflow/labels), where every bought label is listed with its carrier, service, cost, charged amount and profit.
  3. If the shipment failed instead, read the red Failure reason card at the top of the right side first — it states the reason as returned for that shipment, before you change anything and try again.
