Project + Labor Task: billable VAS work with time tracking
For special work outside the standard task system — labeling, repacking, refurbishing. Create a project per client, assign one labor task per worker, track time on mobile, and have supervisors review hours before billing.
Warehouses often do special work for clients that doesn’t fit the standard task types: sticking labels, repacking cartons, refurbishing returns. This work is billed by labor hours, not by quantity moved — so it needs its own workflow: a Project groups the work per client, and each worker gets their own Labor Task with an independent timer.
Create a project (desktop)#
Go to WMS → Tasks → Projects → New project. Pick the client (required), give the project a name (e.g. "Client X holiday labeling") and a description. You can also add materials used by the project (packing materials or supplies) — quantities are recorded with a billing-price snapshot so later price changes don’t affect settled amounts.
Create labor tasks (desktop)#
Open the project → New labor task. Describe the work and assign it to exactly one worker — if three people are needed, create three tasks. The worker sees the task on their phone.
Track time (mobile)#
On the phone: Labor Tasks → tap your task → Start Task. A live timer runs (01:23:45). Need a break? Tap Pause and pick a reason (break / lunch / restroom / waiting for material / other) — the timer freezes. Back? Tap Resume. Done? Tap End Task — the system computes net hours = total time minus all pauses, and submits the hours for review.
Who can start the timer? Only the worker the task is assigned to can start it. A supervisor can also start it for them — the system records who started it, so there is always a trace. Anyone else who tries to start it will be turned away.
Review hours (supervisor, desktop)#
Go to WMS → Tasks → Labor Review. Each row shows the LB- task number (click it to open the task) and the worker’s name, plus the project, period, pauses and net hours. Hours over 12 in a day are flagged red. Approve → the hours count toward the project total and can be billed. Reject → send back with a note.
Labor tasks in the unified task list#
Every labor task now carries its own task number (LB-…) like other warehouse tasks. Workers see labor tasks assigned to them in the mobile task list together with picking, putaway and other tasks — tap one to view its project and description. Time tracking still runs on the labor task page (Start / Pause / End) as described above; the unified list is where you find and check the task, by number if needed.
On desktop, open Task Query (the unified task list) to look labor tasks up: they appear there with a Labor label — including completed and cancelled ones — and you can filter them by warehouse, just like other task types.
Reopen a completed project#
When every labor task under a project is done, the project is marked Completed automatically — and a completed project cannot take new tasks. Need to add more work to the same project (the client sent another batch, or something was missed)? Open the project and click "Reopen project" at the top right: the project goes back to active and you can create new labor tasks right away. You can also just click "New labor task" — the system asks whether to reopen the project first, and one click reopens it and opens the task form. When the new tasks are all done, the project is marked Completed again automatically.
FAQ#
Q: Can one labor task be assigned to two people? A: No — one task, one person. Create a second task for the second worker; each timer is independent. Q: What if a worker forgets to pause for lunch? A: The supervisor can reject the hours with a note, and the worker resubmits. Q: When is a project marked completed? A: Automatically, when every labor task under it is completed.
