Inventory ledger: every stock movement on record

Last updated 2026-10-16

The inventory ledger is an append-only journal: every stock change in the warehouse — receiving, putaway, pick, ship, adjust, count, move, transfer — writes one immutable row here. Read it, filter it, trace any quantity back to its source document.

Open WMS → Inventory → Inventory Ledger. The ledger is append-only: the database layer forbids UPDATE and DELETE on it, so history can never be rewritten. If something is wrong, you write a new adjustment row to offset it — you never edit an old row.

Columns#

  • Time — when the row was written (created_at).
  • Type — the business action (transaction_type), see the 10 types below.
  • Source — where the row came from (reference_type), e.g. Inbound receipt, Outbound order, RMA.
  • Reference — the real document number (receipt_no / shipment_no / pallet_no / transfer_no / task_no / rma_no). Click it to open the source document in a new tab.
  • Product — SKU plus product name.
  • Location — the location code this row affects.
  • Qty change — signed quantity: increases in green, decreases in red. If a secondary UOM exists it shows in gray after the main quantity.
  • UOM — unit of measure.
  • Owner — the inventory owner.
  • Lot / SN — lot number and/or serial number, joined by " / ".
  • Notes — reason code plus free-text notes.
  • By — who wrote the row (user id).

How a row gets written#

Every business action writes one ledger row with a signed quantity; the balance view is derived from the rows, never edited directly.
The ledger is read-only. If a row is wrong, create an adjustment document to offset it — do not try to change the record itself. An audit trail only works if the past cannot be edited.
