Drayage Settlements: Carrier and Driver Settlements
Pay drayage drivers per trip: generate a settlement for one driver and one period, check every trip line, adjust deductions while it is a draft, then confirm it and mark it paid.
Drayage drivers are paid per trip, not per hour. The Settlements page — Drayage → Settlements (/drayage/settlements) — turns a driver’s finished trips in a period into one settlement sheet: you generate a draft, check every trip on it, adjust deductions if needed, confirm it, and finally mark it paid. Each settlement moves through three statuses only: Draft → Confirmed → Paid.
The settlement list at a glance#
- Each row is one settlement: settlement number, driver, period, number of trips, gross amount, deductions, net pay and status. The net pay is always gross minus deductions.
- Use the Status filter above the list to see only drafts, only confirmed settlements, or only paid ones — handy at pay time when you only want what is still open.
- Click the settlement number (or the Detail button) to open the trip-by-trip breakdown before you confirm anything.
Step 1: Generate a settlement for a driver#
- Open Drayage → Settlements and click Generate settlement at the top right.
- Pick the driver (the list only offers active drivers) and the settlement period — both are required.
- Click Generate. Docklify collects that driver’s completed orders inside the period that have not been settled yet, prices each trip, and creates a draft settlement — the success message tells you how many trips went in.
Trips are priced per trip from the drayage order: each trip line keeps its order number, move type (import, export, empty return, chassis repo) and container number. A dual-transaction trip — one run that handles two moves — is marked with a “Dual 1.5×” tag and pays one and a half times the base pay. Those trip lines come straight from the finished orders in Drayage → Orders, so a wrong amount is fixed on the order side, not by editing the settlement.
Step 2: Check the trip lines and set deductions#
- Open the settlement from the list. The detail view lists every trip: order number and move type, container number when there is one, the base pay (with the ×1.5 multiplier shown on dual trips) and the line amount.
- If this pay run needs a deduction, type the amount in the Deductions field while the settlement is still a draft and click Save. The net pay at the bottom updates to gross minus deductions.
- To keep a copy for payroll or for the driver, click Export CSV in the same detail view — the file carries every trip line plus the gross, deductions and net totals.
- Deductions can only be changed while the settlement is a draft. Once it is confirmed, the deduction amount is locked and shown read-only.
- A settlement with no trips in the period shows “No trips” in the detail view — check the period and whether the driver’s orders were actually completed before generating again.
Step 3: Confirm, then mark paid#
- When the lines and deductions look right, click Confirm settlement — either on the list row or inside the detail view. The status moves from Draft to Confirmed.
- After the money has actually gone out, click Mark paid on the confirmed settlement. The status moves to Paid and the settlement is closed.
- Filter the list by status whenever you need a clean view — for example, only Confirmed settlements when you are about to run pay.
What happens when you confirm: the pay goes on the books#
Confirming a settlement is the moment the driver pay reaches your books — you do not enter it a second time anywhere. Each trip on the settlement is recorded as a payable for that driver, and the monthly settlement in Billing turns it into a payable bill: the trips add up on one side, and the settlement’s deductions show up as their own negative line on the same bill, so the bill total equals the net amount on the settlement. If this is the driver’s first confirmed settlement, the system also sets them up as a payee automatically, so the bill knows who it belongs to. Marking the settlement paid here stays a record of the physical payment; the bill in Billing follows its own payment flow.
Docklify features used in this article#
- Settlement list with status filter (settlement no. / driver / period / trips / gross / deductions / net) — Drayage → Settlements (/drayage/settlements)
- Generate settlement by driver + period (collects completed, not-yet-settled orders automatically) — Drayage → Settlements → Generate settlement (/drayage/settlements)
- Trip-by-trip detail with dual-trip 1.5× pricing — open a settlement from Drayage → Settlements (/drayage/settlements)
- Deductions editing on drafts and the confirm → paid flow — Drayage → Settlements → settlement detail (/drayage/settlements)
- CSV export of a settlement — Drayage → Settlements → settlement detail → Export CSV (/drayage/settlements)
- Confirm-to-books: each confirmed trip becomes a payable, deductions land as a negative line on the monthly bill in Billing — Drayage → Settlements → Confirm (/drayage/settlements), then Billing monthly settlement
