People: skill matrix (licenses, skills, languages)

Last updated 2026-10-15

Track licenses, skills and languages per employee with proficiency levels and expiry dates; see the warehouse skill matrix and gap analysis at a glance.

The skill matrix keeps your workforce qualifications in one place — forklift licenses, electrician or welder certificates, first-aid/CPR, and languages like English or Spanish. Open People → Skills and use "Seed 7 default skills" to load the common set, or create your own definitions (code, Chinese/English name, category, whether a certificate is required, default validity in months).

Adding a skill to an employee#

On the employee detail page, find the Skills card and click "Add skill": pick a definition, set the proficiency (beginner / intermediate / advanced), acquired date, expiry date and certificate number. If the definition has a default validity (e.g. 36 months for a forklift license), leaving the expiry blank auto-calculates it from the acquired date. Expired skills are highlighted in red; skills expiring within 30 days show an amber warning.

Matrix overview and gap analysis#

The Matrix overview tab renders employees (rows) × skills (columns), filterable by warehouse. Each cell shows the proficiency as a color block — blue = beginner, green = intermediate, purple = advanced — and expired holders get a red border. Column headers turn red when nobody valid holds that skill.

The gap analysis above the matrix estimates demand per skill: required = ceil(active headcount × ratio), with default ratios of 0.5 for licenses, 0.3 for skills and 0.2 for languages (expired holders don’t count). Rows with a shortfall are highlighted red — use it when planning license renewals or new training.

Work capabilities (receiving, putaway, pick, pack, ship, load, count) used by WMS task assignment stay where they are — this matrix tracks qualifications, not task eligibility.
