Job requirements: required courses per position, with deadlines
Managers pick required courses for each position and set a completion deadline (e.g. within 30 days of hire). Employees see their requirements on "My learning"; overdue items turn red, and the team dashboard shows who is behind.
Job requirements turn training from "learn when you have time" into a clear checklist per position: this role must pass these courses within N days of hire. Set it once, and the system tracks every employee against it automatically.
For managers: set the requirements#
- Open Academy → "Position requirements".
- Pick a job position, tick the required courses, and enter "Complete within (days)" — e.g. 30 means within 30 days of hire. Positions come from the Job Titles master list (maintained under People → Org chart → Job Titles): to add a brand-new position, add it there first and it appears here. Renaming a position there updates these requirements automatically.
- Tap "Add Requirement". Each requirement is one row: position + course + days. "Delete" removes one (it asks for confirmation first).
Where positions come from: the Job Titles master list#
- One shared list: the positions you pick here are the same ones used on employee profiles in People. HR maintains the list under People → Org chart → Job Titles — add, rename, reorder, or disable.
- Renaming is safe: renaming a position in the master list updates employee profiles and these job requirements automatically, so matching never breaks over a spelling change.
- Disabling is not deleting: a disabled position disappears from the dropdowns, but employees and requirements already using it keep showing it as-is.
For employees: "My learning"#
- "Job Requirements" lists your required courses with deadlines, counted from your hire date.
- Not yet due: "N days left". Past due: red "Overdue". Tap "Continue" to jump straight back into the course.
For managers: team dashboard#
- Open Academy → "Team dashboard": team completion rate, exam pass rate, and the overdue list — who is behind on what, at a glance.
Faster: generate requirements by role tag#
Adding courses one by one is fine for a handful, but a new position usually needs a whole set. Every course carries role tags (Operator / Supervisor / Admin / Implementer). On the same "Position requirements" page, use "Generate by role tag": pick the position and a role tag, and every published course with that tag becomes required for the position in one go. Courses already required are skipped, so you can re-run it any time after new courses are tagged. See "Course categories and learning paths" for how categories and tags work.
