AR: accounts receivable invoices (INV-)

Last updated 2026-10-14

Invoice a merchant for what you are owed, track draft → sent → partial / overdue → paid, and collect with the AR aging report.

AR stands for accounts receivable — money other people owe you. After you finish a service for a merchant, you issue them an invoice (a bill you send), with the amount and a due date. When the money arrives, you apply the receipt against the invoice.

Create an invoice in 4 steps#

  1. Open Accounting → Invoices and create new: pick the merchant (who owes you, optional), set the issue date, and set a due date so the system can tell overdue later.
  2. Add line items (what you are charging for, quantity, price each) and any tax; the subtotal, tax, and total are summed automatically.
  3. Save as draft first — the invoice number INV- is assigned automatically from the shared sequence.
  4. Review the draft, then move it draft → sent: this means the invoice has been issued to the merchant and is now waiting for payment.

The status machine#

  • draft: the invoice is being prepared and has not been sent yet.
  • sent: issued and waiting for payment.
  • partial: part of the money arrived — this status can only be derived from payments, never set by hand.
  • overdue: past the due date with a balance remaining.
  • paid: fully received — a terminal state, nothing changes after this.
  • void: cancelled — also terminal.
You cannot hand-set partial or paid. Recording a payment is the only way there: if the remaining balance hits zero the invoice becomes paid automatically, otherwise partial.

Collecting overdue invoices#

  • Filter status = open to see every invoice still not fully received (sent / partial / overdue).
  • The AR aging report groups unpaid invoices by how late they are — start with the oldest bucket.
Always set a due date on the invoice — without one, the system cannot flag the invoice as overdue later.
