CRM Contacts: Managing Contacts

Last updated 2026-10-22

Keep the people at your customer companies in one list: search by name, email or phone, filter by company, mark one primary contact per company, call from the list and log follow-ups.

Contacts are the people you actually talk to at a customer company — the buyer, the warehouse manager, the person who signs. The Contacts page in CRM keeps them all in one searchable list, each contact attached to its company, with one contact per company marked as the primary contact so everyone on your team knows who to call first.

Step 1: Find a contact#

  1. Open CRM → Contacts. The list shows each contact’s name, job title, company and contact info (email and phone).
  2. Type in the search box to search by name, email or phone, and press Enter to run the search.
  3. To see only the people at one company, pick that company in the company filter next to the search box.
  4. Use the pagination at the bottom of the list to move through longer lists and change how many rows show per page.

That searchable, company-filtered list is the Docklify Contacts list — CRM → Contacts (/crm/contacts). A gold “Primary” tag next to a name tells you this person is the main contact for their company, and a contact with no company yet simply shows “No company” until you attach one.

Step 2: Create a contact#

  1. Click “+ New contact” at the top right of CRM → Contacts.
  2. In Basic Info, pick the company this person belongs to, then fill in first name (required), last name, job title and department.
  3. In Contact Info, add the email, phone, mobile and LinkedIn address — the phone number you enter here is the one the list can dial.
  4. Add the postal address in the Address section if you have it.
  5. In Additional, tick “Primary” if this person is the main contact for the company, then click Save.
  • Only the first name is required — everything else can be filled in later as you learn more about the person.
  • A contact does not have to belong to a company: leave the company empty and the contact is saved on its own, ready to attach later.
  • Mark one primary contact per company: it is the fastest way for a colleague picking up the account to know who to reach first.

If your team has defined extra fields for contacts, they appear in a Custom Fields section at the bottom of the same form — fill in the ones marked required, or saving is blocked with a reminder naming the missing field. The fields themselves are maintained in CRM → Settings → Custom Fields, so the form always matches what your team agreed to track.

Step 3: Edit a contact when something changes#

  1. Find the person in CRM → Contacts and click Edit on their row.
  2. Change what has changed — a new job title, a new phone number, a move to another company, or the Primary tick if someone else has taken over as main contact — then click Save.

Call and log follow-ups from the list#

  • Dial from the list: when a contact has a phone number, a dial button sits next to it in the Contact info column — click it to call without retyping the number. This is the Docklify dial action on CRM → Contacts.
  • Log what happened: click Activities on a contact’s row to open the follow-up drawer for that person and record calls, emails and meetings against the contact. This is the Docklify activities drawer — CRM → Contacts → Activities on the row.
  • Companies carry their own people too: a contact you attach to a company also shows up from the company side, so CRM → Companies and CRM → Contacts stay two views of the same people.
Keep the phone number on the contact up to date: the list dial button and the follow-up history both work off the record you maintain here, so a stale number slows down everyone who picks up the account after you.
