Quote Generator: Create Quotes in the Browser

Last updated 2026-10-22

Pick an industry template, fill in company and client details, let the line items price themselves, preview the quote live and download it as PNG or PDF.

A quote is often the first document a new client sees from you, so it should look tidy and add up correctly. The Quote Generator (Utilities → Quote Generator, /utilities/quote-generator) starts you from an industry template instead of a blank page: fill in your company and the client, adjust the pre-filled line items, and the amounts, discount, tax and total are calculated for you as you type. A live preview on the right always shows the finished document, and at the end you download it as a PNG picture or a PDF. Everything is done in the browser on this computer.

Step 1: Choose a template#

  1. Open Utilities → Quote Generator (/utilities/quote-generator). Four template cards sit at the top of the page.
  2. Click the card that fits your business. The line items, terms, tax rate and validity period below are filled in from that template, ready to edit.
  • General Quotation: free-form goods or services — sample products and a service fee are pre-filled, valid for 30 days.
  • Warehousing / 3PL Services Quotation: pallet storage, inbound receiving, order fulfillment, labelling and a WMS system fee, valid for 30 days.
  • Freight Quotation: ocean freight, destination charges, final-mile trucking, fuel surcharge and customs brokerage, valid for 15 days.
  • E-commerce Fulfillment Quotation: pallet storage, pick & pack, packaging materials, returns processing and special projects, valid for 30 days.
Clicking a different template replaces the line items, terms, tax rate and validity period with that template’s values, and resets the discount to zero. It does not touch your company info, client info, quote number or date — but if you have already edited lines or terms, save a draft first (Step 5) before switching templates.

Step 2: Fill in your company and the client#

  1. In the “Your company” card, upload your company logo if you have one — it appears at the top-left of the quotation. Then fill in company name, address, phone and email.
  2. In the “Bill to” card, fill in the client’s contact name, client company, address and email. These show on the right side of the preview under “BILL TO”.
  3. Watch the live preview on the right (Utilities → Quote Generator, /utilities/quote-generator) as you type — it is the actual document your client will receive, including the FROM and BILL TO blocks.

Step 3: Quote details and line items#

  1. In “Quotation details”, check the quote number (one is generated for you, like QUO-20261022-123, and you can change it), the date, and the “Valid for (days)” number. The preview works out the “Valid until” date by itself.
  2. Set a discount (in USD) and a tax rate (%) here too, if they apply. Both feed straight into the totals.
  3. In “Line items”, click “Add row” to add a line: fill in the description, quantity, unit and unit price in the pop-up, and confirm. To change a line, click its row in the table and edit it in the same pop-up.
  4. Use the up and down arrows on a row to reorder lines, and the trash icon to remove one. The last remaining line cannot be removed — a quote always keeps at least one line.
  • Every amount on the quote is in USD. A line’s amount is quantity × unit price, worked out automatically.
  • Totals order: subtotal first, then the discount comes off, then tax is charged on what is left, giving the total. The preview shows all four numbers.
  • If you type a discount bigger than the subtotal, it is counted as the subtotal amount at most — the total never goes below the tax on zero.

Step 4: Terms, notes and a final preview check#

  1. In “Terms & notes”, read the terms that came with the template and edit them to match this deal — payment terms, what is included, what is not. They print at the bottom of the quotation.
  2. Add anything deal-specific in Notes (optional) — for example a start date or a contact for questions. Notes print below the terms.
  3. Give the preview one last read from top to bottom: company and client blocks, every line, the totals, the valid-until date, terms and notes — plus the signature lines for supplier, client and date at the very bottom.
  • Fields you leave blank simply do not print, except the client block: if you fill in nothing for the client, the preview shows “(not provided)” there — a clear sign the client card still needs filling in.

Step 5: Download the quote, or save a draft#

  1. In the “Download” card at the bottom of Utilities → Quote Generator (/utilities/quote-generator), choose the PDF paper size first: A4 (210 × 297 mm) or Letter (8.5 × 11 in).
  2. Click PNG to download the quote as a picture (handy for sending in a chat), or PDF to download it as a document. A long quote is split across PDF pages automatically.
  3. Not finished yet? Click “Save draft” to keep the work on this computer, and “Load draft” next time to pick it up again. The draft button sits in the same Download card.
A draft is saved in this browser on this computer only — it is not sent anywhere and will not appear on another computer. The draft keeps the template, company, client, lines, amounts, terms, notes and paper size, but not the logo picture: after loading a draft, upload the logo again before you download.
