AI Assistant Settings: Switches, Ability Levels, Replies and Sender Verification
One page controls both assistant channels — email ordering and the Rollie chat assistant: the master switches, what each channel may do on its own, how replies are worded and signed, and the queue of new senders waiting for your verification.
Open Admin → AI Assistant Settings. The page has five tabs: Overview, Capabilities, Email channel, Rollie channel, and Activity. Everything the assistant does — and everything it has done — is visible here; the day-to-day review of individual email orders stays under OMS → Email Orders.
The master switches (Overview)#
Each channel has its own switch. Turning the email assistant off stops its automatic processing right away: incoming mail is still received and each case is handed to your team, and the customer gets a short note saying a person is following up. Nothing is deleted — your address, allow list and ability levels stay exactly as they are, and switching back on resumes where you left off. To turn the email channel on for the first time, set up your inbox address and confirm at least one sender first (Email channel tab).
Ability levels (Capabilities)#
Each ability — creating orders, answering stock questions, and so on — has a level per channel: Off, Draft for review, or Automatic. Risky abilities are capped: anything that changes stock numbers or touches money can never go above “Draft for review”, so a person always confirms those. Abilities shown greyed out with “Coming soon” are not live yet and stay off.
Replies and your signature (Email channel)#
Choose how replies are languaged: follow each sender’s language (default), one fixed language for everyone, or follow with a fixed fallback when the language is unclear. Set the assistant’s display name and signature once and every reply carries it. You can also choose whether replies include the customer tracking link and a short goods summary, and how many times the assistant may ask for missing details before handing the case to your team (1–5, default 3).
New senders waiting for verification#
When someone who is not on your allow list emails an order for the first time, the assistant does not process it yet — and does not reject it either. The customer gets a short note that the email arrived and is being checked. The case waits in the verification queue (Email channel tab, and OMS → Email Orders filtered by “Waiting for sender verification”). Open it, pick which customer the sender belongs to and how much you trust them (draft-only or automatic), and approve: the original email then continues processing automatically. Or reject with a reason: the sender is blocked and the customer gets a brief closing note. Waiting cases are reminded automatically, and close on their own after 30 days if nobody approves them.
