Subscription Center: reports to your inbox on a schedule

Last updated 2026-10-16

Subscribe to a report or dashboard and get it by email on a schedule — daily, weekly or monthly (Pacific Time), as PDF, CSV or Excel. A built-in scheduler runs every 10 minutes, and every delivery is recorded in a log you can check.

The Subscription Center turns “I need to remember to look at this report” into “the report comes to me.” Pick a report (or a whole dashboard), choose how often, add the email addresses, and pick a file format — from then on the numbers arrive in the inbox by themselves. The scheduler checks every 10 minutes and sends at the time you set, always interpreted in Pacific Time.

Create a subscription in 4 steps#

  1. Pick the content: “Report” or “Dashboard”, then choose one. Tip: for dashboards, the scheduler runs each report on the board one by one and packs them into one email.
  2. Set the schedule: daily, weekly or monthly, and the time (Pacific Time). Weekly needs a day of the week, monthly needs a date (1–28).
  3. Add recipients: one or more email addresses. Duplicates are removed automatically; an invalid address is rejected right in the wizard.
  4. Pick the file format (see below) and Save — the first delivery happens at the next scheduled time, never retroactively.

Three file formats#

  • PDF — opens anywhere, best for reading. Dashboards become a multi-section document, one section per report.
  • CSV — opens in Excel, best for re-analysis. Dashboards are concatenated into one file, one report after another.
  • XLSX — a formatted Excel workbook; for dashboards, one sheet per report.

Four subscription states#

  • Running — delivering on schedule. Use the row actions to Pause / Edit / Delete.
  • Paused — stopped manually, keeps its settings. Resume brings it back without losing anything.
  • Delivery failed — the last three deliveries all failed (e.g. the report was deleted). Check the log for the reason, then Edit to fix it or Resume to try again — resuming clears the failure count.
  • Cancelled — a final state reached from the status menu; it never sends again.

The delivery log#

Click the clock icon on a subscription row to open its delivery log: every scheduled send is listed — time, result (Sent / Failed / Skipped) and details. “Skipped” means the system deliberately did not send: for example, the email service was not configured, or there was no valid recipient — a skip does not count as a failure and will not turn the subscription red.

If a yellow banner says the email service is not configured, subscriptions can still be created — they just won’t send until an administrator configures the email service (RESEND_API_KEY). Ask your administrator.
