Driver Master Data: Create and Maintain Shared Driver Profiles
One driver profile, shared by TMS, Drayage and LastMile — create it once and every dispatch screen works from the same name, phone, vehicle and credential dates.
Drivers are shared master data: a profile created in Master Data → Drivers is the same driver that TMS, Drayage and LastMile dispatch to. That means you maintain each driver exactly once — name, phone, the carrier they belong to, their vehicle, and the dates that matter (TWIC expiry, maintenance due) — and every assignment, current-job view and expiry warning across the three apps reads from this one profile.
Step 1: Create a driver profile#
- Open Master Data → Drivers and click "+ New driver".
- In Basic Info, enter the Name (required) and Phone, and select the Carrier the driver belongs to if they drive for one of your carriers.
- In Vehicle & Credentials, fill in what you have: License no, Vehicle type, Truck no, License plate, TWIC expiry and Maintenance due.
- Click Create. The driver is immediately available to TMS, Drayage and LastMile — there is nothing else to copy or sync.
- Only the name is required to create a profile — you can start with name and phone, and complete the vehicle and credential fields later from the edit page.
- The carrier on the profile is the carrier from Master Data → Carriers — keep carrier profiles there first if a name is missing from the list.
Step 2: Find drivers and read the list#
- Open Master Data → Drivers. Use the Status filter (All / Active / Inactive) and click Search to apply it; Reset clears it again.
- Click a driver’s name to open the edit page, or open the detail page to see the full profile (see Step 3).
- Name column: the truck number and license plate sit under the name, so dispatchers can spot the right person-vehicle pair at a glance.
- Availability and Current job columns show what the driver is doing right now — available, or on a job with its order number.
- TWIC expiry turns red and bold with the days left when 30 days or fewer remain — use it as your early warning to renew port credentials in time.
- Deactivated drivers stay on the list, dimmed — their history is kept, they are simply no longer available for dispatch.
Step 3: Check the driver detail page#
The detail page (Master Data → Drivers → open a driver) pulls the whole profile onto one screen, grouped into Basic info, Vehicle & credentials, and Status — handy when a dispatcher or a port gate needs one driver’s full picture. The Edit button at the top jumps straight to the edit form.
- Basic info: name, phone and the carrier the driver belongs to.
- Vehicle & credentials: license number and license expiry, TWIC expiry, truck number, vehicle type and license plate.
- Status: the account status (active, inactive or suspended), the duty status (available, on duty or off duty), which apps use this driver, and the current order when one is in progress.
Step 4: Edit, deactivate and reactivate#
- Open the driver’s edit page (click the name in the list, or Edit on the detail page), change any field in Basic Info or Vehicle & Credentials, and click Save.
- When a driver leaves or takes a long break, use Deactivate on the edit page instead of trying to remove the profile: the page asks for confirmation and explains that the driver will no longer be available for dispatch.
- To bring a driver back, open the same edit page and click Reactivate — the profile, vehicle and credential data are all still there.
