Portal Login Users: Create and Manage Client and Carrier Accounts

Last updated 2026-10-22

Create the login accounts your customers and carriers use to sign in to their Portals — one Client login can cover several clients, and every carrier login belongs to one carrier.

These two pages manage the login accounts of people outside your company. Client Users (Master Data → Client Users) are the accounts your customers use to sign in to the Client Portal to see their orders and inventory; Carrier Users (Master Data → Carrier Users) are the accounts carrier staff use to sign in to the Carrier Portal. The two work differently on one key point: a Client login can be linked to several clients at once, while a carrier login always belongs to exactly one carrier.

Step 1: Create a Client login account#

  1. Open Master Data → Client Users and click "+ New user".
  2. In Basic Info, enter the Email (required — this is the sign-in name), an optional display Name, and a Password of at least 8 characters (required).
  3. Pick the Role: Admin (manages the client’s own Portal users and settings) or Operator (day-to-day work only).
  4. In Accessible clients, tick at least one client — this decides which clients’ data the login can see in the Portal. Then click Create.
  • If the email already exists as a login, the form tells you so: saving links that existing login to the clients you selected, without resetting its password.
  • One person who works with several of your clients only needs one login — link all their clients to the same account instead of creating duplicates.

The Client Users list (Master Data → Client Users) is built for quick checks: search by email or name, filter by role, source (Created in SaaS / Created in Portal) and status, and read each row at a glance — role, where the account was created, the clients it can access shown as badges, and its status, including a separate "Portal disabled" badge when Portal access has been switched off.

Step 2: Manage a Client account — reset, sign in as, disable#

  1. Open the account from the list (click its email). The edit page shows the same form plus an "Account Actions" card.
  2. Reset password: type a new password (at least 8 characters) in Account Actions and confirm — use this when the customer is locked out.
  3. Login as: opens the Client Portal in a new tab signed in as that user, so you can see exactly what they see when they report a problem.
  4. Emergency disable: one click in Account Actions stops the account from signing in to the Portal at all. It applies to every client the login is linked to.
Accounts marked "Created in Portal" are managed inside the Portal itself: on their edit page the form and account actions are read-only here, so role and client changes for those users are made by the client’s own Portal admin.

Step 3: Create and manage Carrier login accounts#

  1. Open Master Data → Carrier Users and click "Add user" — adding and editing happen in a dialog on this same page, there is no separate form page.
  2. Select the Carrier the user belongs to and enter their Email (both required; the email must be a valid address) and their Name. Leave Active on so they can sign in right away, then Save.
  3. Later changes stay on the same page: filter the list by search text, carrier or status, use the row’s edit action to change the carrier, email, name or Active switch, and the delete action to remove a login that should no longer exist (it asks for confirmation).

Because a carrier login belongs to one carrier only (Master Data → Carrier Users), a dispatcher who works for two of your carriers needs one login per carrier. That keeps each Carrier Portal session showing only its own carrier’s jobs.
