Marketplace Fulfillment: Unified Inventory View and Transfer Orders to FBA, WFS and Other Platforms

Last updated 2026-10-22

See every SKU across your own warehouse and platform locations (FBA, WFS, TikTok FBT and more) in one matrix, then send stock into platform fulfillment centers with transfer orders you advance step by step.

When part of your stock sits in platform fulfillment warehouses — Amazon FBA, Walmart WFS, TikTok FBT, Shopify SFN, Wayfair CastleGate — the hard question is always the same: how much do I have, and where? Docklify answers it in WMS → Marketplace Inventory (/wms/marketplace-inventory): one row per SKU, your own warehouse in one column and every platform location in its own column, with available and inbound totals at the end of the row. When a platform location runs low, WMS → Transfer Orders (/wms/transfer-orders) is where you create an inbound transfer order and walk it from draft to closed. Note this is not warehouse-to-warehouse transfer between your own warehouses — that is a different flow (see the warehouse transfer article).

Step 1: Read the unified inventory matrix#

  1. Open WMS → Marketplace Inventory. If you run a 3PL operation, first pick the Client — the matrix only shows that client’s SKUs.
  2. Narrow the list with the Platform filter (Amazon FBA / Walmart WFS / TikTok FBT) or type a SKU and click Search; Reset clears all filters.
  3. Read across the row: Own warehouse (live available quantity from WMS inventory), then one column per platform location, then Total avail. and Total inbound.
  4. Check the “Last sync” time under each platform column name — quantities are snapshots from the last sync, not a live feed.

The Amazon FBA column deserves a closer look, because “inbound” at Amazon is not one number. Docklify splits it into the three stages Amazon itself uses — Working (shipment created), Shipped (on its way) and Receiving (being checked in at the FC) — shown under the available quantity together with Reserved. Expanding the FBA cell shows each stage separately, so stock that is stuck in “Receiving” no longer disappears into a black hole. The Walmart WFS column shows available and inbound quantities, and when WFS suggests replenishment it also shows a “suggested +N” hint right in the cell — that is your cue to create a transfer order.

Step 2: Sync the latest platform snapshot#

  1. Click “Sync now” at the top right of WMS → Marketplace Inventory.
  2. Wait for the confirmation message — it reports how many locations and SKUs were refreshed — after which the matrix reloads with the new snapshot.
  • A location whose data is marked with a “SIMULATED” badge is a simulated location — Docklify labels it clearly in the cell so you never mistake it for real platform stock.
  • If the matrix is empty, sync first — with no snapshot pulled yet, the page has nothing to show.
  • Use Total inbound per row before ordering more stock: goods already on their way to a platform are easy to double-count.

Step 3: Create an inbound transfer order#

  1. Open WMS → Transfer Orders and click “+ New transfer order”.
  2. For 3PL warehouses, pick the Client the stock belongs to.
  3. Pick the Source warehouse (your own warehouse the goods leave from).
  4. Pick the Platform (Amazon FBA / Walmart WFS / TikTok FBT), then the Destination (platform FC). Destinations appear after the platform is connected in Integration and its locations have synced; if the list is empty, connect the platform first.
  5. Add lines: one product per line with quantity and unit (the unit list follows the product’s own units where defined). Use “+ Line” for more products, and the × button to remove a line.
  6. Click Create. The order appears in the list as Draft, with shipped / received / variance quantities starting at zero.

Step 4: Advance the order as the shipment moves#

Transfer order status flow on WMS → Transfer Orders; Cancelled and Exception can be set from any open status.
  • Click “Advance” on the row to move the order one step forward: Draft → Planned → In transit → Delivered → Receiving → Closed. Advance it when the real shipment reaches that stage, so the list always mirrors reality.
  • The list tracks Shipped, Received and Variance per order — a non-zero variance is highlighted in red so quantity mismatches stand out.
  • Something wrong — damaged cartons, a refused delivery? Use “Mark exception” on any open order to flag it, and “Cancel” to cancel an order that will not ship. Closed and cancelled orders can no longer be cancelled or flagged.
  • Need the same shipment again? “Clone” on a row copies the order so you only adjust what changed.
  • Filter the list by Client, Status and Platform to find orders fast; the count above the table shows how many orders match.

Push replenishment to TikTok FBT#

  1. On WMS → Marketplace Inventory, click “Push replenishment to TikTok” (the button appears when a TikTok FBT location exists). Step 1: choose the TikTok location and the TikTok warehouse — the warehouse is required before you can continue.
  2. Click Preview. Step 2 lists each seller SKU with the quantity that would be pushed; quantities come from your own warehouse’s live available stock.
  3. Check the list, go Back to fix the selection if needed, then click “Confirm push”. Step 3 shows the result per SKU — pushed count, failed count, and the reason next to any failure.
The TikTok push writes absolute sellable quantities to TikTok — it sets the number, it does not add to it. Double-check you picked the right TikTok warehouse before confirming; a wrong warehouse means wrong stock numbers on the storefront.

Docklify features used in this article#

  • WMS → Marketplace Inventory (/wms/marketplace-inventory): SKU × location matrix with own-warehouse column, platform columns, available / inbound totals and last-sync times
  • Amazon FBA cell breakdown: fulfillable, reserved and inbound split into Working / Shipped / Receiving
  • Sync now: refresh the platform inventory snapshot and reload the matrix
  • WMS → Transfer Orders (/wms/transfer-orders): create inbound transfer orders to platform FCs, advance status, cancel, mark exception and clone
  • Push replenishment to TikTok FBT: three-step manual push (location + warehouse → preview → confirmed result per SKU)
  • Integration → Connections: platform locations synced from connected platforms feed both the matrix columns and the transfer-order destination list
