Admin Data Export and Account Closure
Download a complete copy of your data from Admin → Data & Account, follow an export in Recent Exports, and — only after exporting — walk the guarded steps for closing the account.
Admin → Data & Account holds two things that belong together. The first is everyday-useful: a full export that downloads a complete copy of your data — all records and files across all apps. The second is the Danger Zone at the bottom: closing the account. The page itself puts them in this order for a reason — export first, keep the copy safe, and only then think about closing. Read this whole article before touching the red section.
Step 1: Start a full data export#
- Open Admin → Data & Account (/admin/data-export) and find the Export Data section at the top.
- Click Export All Data.
- A confirmation asks whether to start the full export and warns that large datasets may take a while. Confirm only if you really want a new export to start.
- The new export appears in Recent Exports below, and the page refreshes on its own while an export is running — you do not need to reload to watch it move.
Starting an export does not change anything in your account — it only reads your data out into a copy. Run one whenever you want your own backup of everything, not only when you are thinking about closing: Admin → Data & Account → Export All Data is the whole routine.
Step 2: Follow the export, then download, cancel or retry#
- Recent Exports shows the latest exports with their creation time, status and progress. While an export is Pending or Running, the progress column shows a bar with a percentage and how many rows are out so far out of the total.
- Done means the copy is ready. Done with errors means the export finished but part of it ran into problems — download it and check what you got before relying on it.
- Failed means the export did not finish; Cancelled means someone stopped it. Neither gives you a complete copy.
- Download appears on Done and Done with errors rows — click it to get the export file.
- Cancel appears on Pending and Running rows — use it to stop an export you started by mistake, so it does not keep running.
- Retry appears on Failed rows — it starts a fresh export rather than resuming the broken one.
Before you close: what closing the account means#
- The Danger Zone’s own words on the page: export all data first, then permanently close your account. Take that order seriously — after closing starts, this page is no longer the place to get your data out.
- There is a 90-day retention period: while it runs, the account sits in a closing state and can still be restored from this page. After the retention period, the data is permanently deleted.
- Closing is an owner-level decision for the whole organization, not a personal setting — everyone in the company is affected, so make sure the decision is settled before you start the steps below.
Step 3: Start closing and pass the checks#
- In the Danger Zone at the bottom of Admin → Data & Account, click Export & Close Account. The Danger Zone is only shown while the account is active.
- A dialog opens and runs the closing checks first. Read what it lists: how many exports are still pending, whether there are unpaid bills, and how many owners the organization has.
- If the checks do not pass, the dialog says to resolve the issues above first and does not let you continue — go fix those items (for example, wait for pending exports or settle unpaid bills) and start again.
- If the checks pass, continue to the name-confirmation step.
Step 4: Type the organization name and confirm#
- The dialog shows your organization name and asks you to type it to confirm. Type it exactly as shown — if the name does not match, the page stops you with a “name does not match” message.
- Only when you are certain, click the red button: “I understand, close my account”. There is no extra undo button after this — the way back is the restore option described below, and only during the retention period.
- The page confirms that the account is now closing. The Danger Zone disappears and a banner takes its place at the top of the page.
While the account is in the closing state, the banner on Admin → Data & Account says the data will be permanently deleted after the retention period, and it carries a Restore Account button. Restoring is the deliberate way back during those 90 days — after the retention period ends, there is nothing left to restore.
