People Badges: Employee Badges and Printing

Last updated 2026-10-22

Print employee badges in People → Badge Studio: pick employees, choose one of six badge templates or the A4 cut-sheet, preview live, lay the badges out on an Avery sheet and print.

A badge is the card a new hire wears on day one — photo, name, employee number and a QR code people can scan to verify who they are. You make them in People → Badges (the Badge Studio, /people/badges) in four steps on one page: select employees, choose a template, preview live, then pick the paper, lay the badges out and print. Nothing is typed by hand: every badge is filled from the employee record you already maintain in People → Employees.

Step 1: Select employees#

  1. Open People → Badges. The employee table at the top lists everyone in your organization with name, employee number, department · job title and status.
  2. Use the search box to narrow the list by name, employee number or department, then tick the checkbox of each person who needs a badge — you can select several at once for a batch.
  3. Selected employees appear as chips under the table with a count; remove one with its ×, or Clear to start over.
  4. Coming from an employee detail page? Opening Badge Studio from People → Employees → an employee pre-selects that person for you, so a single replacement badge takes seconds.

The badge shows the photo from the employee record; if the person has no photo yet, the card falls back to their initials on a colored block, so a badge is never blank. Keep photos and job titles current in People → Employees and every reprint is correct without extra work.

Step 2: Choose a template#

  • Six badge templates: three styles — Minimal, Business and Warehouse (large type, easy to read across a warehouse floor) — each in landscape and portrait. Pick by thumbnail; the thumbnails are live miniatures of the real card.
  • Every template carries the same facts: photo (or initials), name, employee number, department · job title, and a QR code that encodes the employee number (EMP: plus the number) with “SCAN TO VERIFY” under it.
  • The seventh option is the A4 cut-sheet: 8 cards on one A4 sheet with cut lines, produced as a PDF — handy when you have no badge paper and just need scissors and plain A4.

Step 3: Check the live preview#

The preview renders the real card for a selected employee, exactly as it will print — change the template or the selection and it updates at once. When several employees are selected, use the preview dropdown to flip through them one by one and catch a missing photo or a wrong job title before any paper is used. The preview is part of People → Badges (/people/badges); what you see is the same rendering the print step uses.

Step 4: Pick the paper, lay out the sheet and print#

  1. Choose the paper: Avery 5392 (badge inserts, 3"×4", 6 per Letter sheet in 2 columns × 3 rows) or Avery 5395 (adhesive name badges, 8 per Letter sheet in 2 columns × 4 rows). The card on the page shows the size and layout of each paper.
  2. The sheet grid shows one box per slot. Selected employees fill the selected slots in order automatically; cards are scaled to fit each slot and centered, and portrait and landscape templates both work on either paper.
  3. Click a slot to select or deselect it for this print run. To reuse a partly used sheet, deselect the slots that are already used up — only selected slots print, the rest stay blank.
  4. Need a badge in a specific slot? Each selected employee has a Slot dropdown: leave it on Auto, or pin that person to a numbered slot. “Enable all” turns every slot back on.
  5. If more employees are selected than the selected slots can hold, the page warns you and only the first ones print — add a second sheet run for the rest. Click Print: the laid-out sheet opens in a new window and prints on Letter with no margins.

Printing the cut-sheet works differently: choose the A4 cut-sheet template and the Print button opens the existing A4 cut-sheet PDF in a new tab for each selected employee (8 cards per sheet with cut lines). Everything else — Avery printing included — happens right in People → Badges with no extra files to download.

From employee selection to a printed sheet of badges
Do a single-badge test print first when you load a new pack of Avery sheets: printer feeds differ slightly, and one test sheet is cheaper than a whole misaligned batch.
