Give your AI assistant write access and check the audit trail

Last updated 2026-10-27

For Owners and Admins: turn on Rollie’s sales-order drafting tool by tool, set the daily limits, read the recent write operations audit on the same page, and switch everything off again in one move.

By default Rollie can only read and answer — it cannot change anything. This page is where an Owner or Admin deliberately gives it one narrow write ability: drafting sales orders in chat for your organization. Nothing is on until you turn it on here, every switch takes effect the moment you save, and the same page keeps the audit list of everything Rollie has written, so you can open it up and shut it down with your eyes open.

Step 1: Open the page and turn tools on one by one#

Go to Admin → Agent Crew Center → “Let Rollie draft sales orders for your organization” (/ai-agents/rollie-access). Only Owners and Admins can change anything here; other members can look but not save. At the top is the master switch, “Allow Rollie to draft sales orders”. Below it, each ability has its own switch:

  • Three lookup switches — keep the customer, client and item matches Rollie finds during an order conversation. Leave one off and Rollie simply cannot use that kind of record in chat.
  • “Summarize the order and wait for confirmation” — Rollie reads back the order summary and only creates the draft after the member confirms in a following message. This stays on whenever drafting is on; there is no mode where an order is created without the person seeing the summary first.
  • “Create the sales order draft” — the key switch, marked as such on the page. Turn it off and the other switches switch off with it: lookups and summaries are only useful as steps toward a draft.
Opening the switch is only half of it. The member asking must also hold the “create sales order” permission on their own account — Rollie never writes with more rights than the person asking. The page links straight to Admin → Roles & Permissions so you can check both halves in one visit.

Step 2: Set the daily limits#

Two numbers cap how many drafts chat can create per day: one for the whole organization combined, and one per member. They start at 50 for the organization and 20 per member. Only actually creating a draft counts — lookups and summaries are free. When the cap is hit, Rollie explains in chat that today’s limit is reached and stops; the counts reset the next day. Raise or lower the numbers here and save — the new limits apply immediately, including to conversations already in progress.

Step 3: Read the audit trail#

The “Recent write operations” list at the bottom of the same page is your audit trail: one row per write attempt, newest first, ten per page. Each row shows when it happened, what Rollie tried to do, the outcome, and — for a created draft — the order number, which opens that order in OMS in a new tab. Failed attempts are listed too, with the plain-language reason: daily limit reached, the member lacks a permission, the feature is switched off, or the member never confirmed.

  • Use the order number link to land on the exact draft when a member asks “where did this order come from” — the order page itself also shows it was created from a chat, and on whose request.
  • Suggestions that need approval — things Rollie proposes instead of doing, like sending a message to a customer — wait in Admin → Agent Crew Center → Approvals (/ai-agents/approvals). Approving there is a separate, deliberate step from anything in chat.

Step 4: Switch it off again#

  • Fastest stop: turn off the master switch at the top of this page and save. Drafting stops immediately for the whole organization — conversations already open lose the ability on their next message.
  • Softer stop: turn off only “Create the sales order draft”. The lookups and summaries switch off with it, as explained above.
  • Drafts already created are ordinary orders — switching this off never deletes or changes them. Handle them on the order page like any other draft.

Docklify features used in this article#

  • Admin → Agent Crew Center → Rollie write access (/ai-agents/rollie-access) — the master switch, the per-tool switches, the two daily limits, and the “Recent write operations” audit list all live on this one page.
  • Admin → Roles & Permissions (/admin/roles) — grant a member the “create sales order” permission; Rollie can only ever use the permissions of the person asking.
  • Admin → Agent Crew Center → Approvals (/ai-agents/approvals) — where suggestions Rollie prepares instead of acting wait for a person to approve or reject.
  • OMS → Orders (/oms/orders) — the drafts Rollie creates land here as normal Draft orders, marked with where they came from.
