Outbound order types: parcel, freight pallets, and customer pickup
How the order type on an outbound order works: where it comes from, the freight summary for pallets, the pickup steps, and how parcel stays unchanged.
Every outbound order carries one order type: small parcel, freight, or customer pickup. The type comes from the sales order, or from the choice made when the outbound order was created, and you can see it in the outbound list and on the order detail page.
One order type drives everything#
There is only one type to worry about. The order type governs both how work is grouped (waves and cut-off times) and how the shipping leg is handled — labels for parcel, pallets for freight, or a customer collecting in person. Whether a freight load runs as LTL or a full truckload is decided on the Load itself, not on the order.
Freight: check the freight summary#
After picking and palletizing, you do not need to copy pallet counts by hand. Open Freight summary on the outbound order: the system totals up the actual pallets for you — the pallet count, the weight and dimensions of each pallet, and the total volume.
- If the packing station measured a real weight, enter the measured weight. A measured weight takes priority over an estimate, and the screen marks clearly which figures are estimates.
- Once the freight class is confirmed, you can generate the bill of lading details from the summary and print the bill of lading for the pickup.
- Stock is deducted only when the Load that carries the goods is closed, or when a direct shipment is confirmed — not when the pallets are wrapped.
Customer pickup#
- After picking and packing are done, tap Ready for pickup and record the pickup contact. This step does not deduct stock.
- When the customer comes to collect, complete the packing confirmation first, then tap Picked up and enter the name of the person collecting. The system deducts stock at this moment and completes the order.
- Tapping Picked up again will not deduct stock twice — it is safe if you tap it by mistake.
Doing it in the warehouse system
Open the outbound order in WMS. Pickup orders show a Pickup card near the top of the order page — other order types do not show this card. The card shows where the pickup stands (not ready yet, ready for pickup, or picked up, with the time and the names recorded), and both buttons above live on this card.
- On the card, fill in the pickup contact (name, phone, and a note if needed), then tap Ready for pickup. Until it is marked ready, the Picked up button stays greyed out and the card explains why.
- When the customer arrives, tap Picked up on the same card and confirm the name of the person who actually came — the contact name is filled in for you; change it if someone else came.
- If the order is on hold, the pickup cannot be handled until the hold is released — the card tells you this too.
Verifying the handover (pickup code and signature)
Depending on the client’s setting, handing over a pickup may ask for more than a name. There are three levels — Simple (name and signature), Standard (a pickup code plus name and signature), and Strict (an ID check is also required). Your administrator sets the default for the whole organization, and each client can have its own level. The card shows which level applies to the order you are working on.
- With Standard and Strict, the moment you tap Ready for pickup the system creates a 6-digit pickup code and texts it to the pickup contact. The code is also shown on the card — if the text does not arrive, read the code out to the contact yourself.
- When the customer arrives, tap Picked up and, in the form, enter the code they give you and have them sign in the signature box. With Strict, also check their ID and record its type and the last 4 characters of the ID number — the pickup cannot be completed without it.
- If the code is typed wrong 5 times it locks. A supervisor can reset it right on the card: pick the supervisor, have them enter their own password, and a new code is issued. You can also resend the code from the card — resending issues a new code and the old one stops working.
- After the pickup is completed, the same card keeps the whole handover record — code check, who picked up (with a mark if someone else came in their place), the signature, and any ID check — so you can pull it up any time.
Small parcel#
Small parcel works exactly as before: pack, print the label, hand the parcel to the carrier, and stock is deducted when the parcel ships. See the Packing Station guide for the step-by-step flow.
