CRM activities: log every touch

Last updated 2026-10-14

Record calls, meetings, notes, and tasks against leads, companies, and contacts; tasks carry due dates with overdue badges.

An activity is one recorded touch with a customer: a phone call you made, a meeting you held, a note you jotted down, a follow-up task you owe. Use this page right after every interaction — memory fades, the log does not, and anyone on the team can pick up where you left off.

Five activity types#

  • Call — a phone conversation with the customer.
  • Meeting — an in-person or online meeting.
  • Email (record only) — you record that an email was sent; the system does not send it.
  • Note — any free-form observation worth keeping.
  • Task — a to-do with a due date (e.g. "send the quote by Friday").
Know the boundary: activities only record that something happened — they do not send emails, there are no email sequences or workflow rules, and there is no lead scoring. If you need to actually send an email, send it from your own mailbox, then log it here as an activity.

Tasks and due dates#

A task is a promise to yourself with a date on it. Overdue tasks and tasks due today show badges on the activities page so nothing slips through the cracks. There are no push or email reminders — the badges on the page are the reminder.

Log an activity#

  1. Open the Activities page and click New.
  2. Choose the type (call, meeting, email record, note, task) and attach it to the right lead, company, or contact.
  3. Write what happened (who you spoke to, what was discussed, what was promised) and, for tasks, set a due date.
  4. Save. The activity appears on the timeline of that lead/company/contact.
Always attach the activity to a record: an activity floating without a lead/company/contact is almost impossible to find later. The timeline on a contact shows the full story of your relationship with them.
CRM has no mobile pages yet — activities must be logged from the desktop. Log them the same day; a call you forget to log is a call that never happened as far as the team is concerned.
