Dedupe & merge: one company, one record
Scan leads, contacts and companies for duplicates (same email, same phone, or a name that matches ≥ 0.85 after normalization). Pick the primary record, pick the winning value for each conflicting field, and merge — related records move to the survivor.
The same company gets entered three times by three salespeople — "Acme Inc", "Acme, Inc." and "acme" — and suddenly the pipeline double-counts the deal. The Dedupe page scans all three lists, groups the suspects, and tells you why each group matched. Merged records disappear from the lists; nothing is deleted, they just point at the survivor.
How duplicates are found#
- Same email — the email is lowercased and trimmed before comparing, so "Boss@Acme.com" matches "boss@acme.com ".
- Same phone — only digits are compared, and a US number matches whether it was typed as +1, 001, (415) or with dashes; numbers shorter than 7 digits are ignored so extensions don't cause false hits.
- Similar name — company names are lowercased, punctuation stripped and suffixes like Inc / LLC / Co dropped, then fuzzy-matched at 0.85 or above. "Acme Logistics" and "Acme Logistics LLC" match; "Acme" and "Acme2" do not.
Merge a group in 3 steps#
- Pick the primary — "Primary record (others merge into it)". Its deals, activities and quotes stay exactly where they are.
- Resolve conflicts — for each field where the records disagree, pick the value to keep. Empty fields on the primary are filled automatically from the others, so you only decide the real conflicts.
- Confirm merge — deals, contacts, activities and quotes from the merged records move to the primary. Use "Not duplicates" on a group that matched by accident, and "Batch merge" to merge many groups at once (each keeps its earliest-created record as primary).
