Drayage Chassis Usage: Days, Daily Rates and Pool Bill Checks

Last updated 2026-10-26

Every chassis trip is recorded — which container, which chassis, which pool it came from, and the start and end dates — so days are counted automatically and you can check your numbers against the pool bill.

A chassis pool list tells you what you have; usage records tell you what each chassis did. Open Drayage → Chassis Usage & Pool Reconciliation to see one row per use: the container, the chassis, the source pool (your own fleet, TRAC, DCLI, FlexiVan or another pool), the order, the start and end, the days, the daily rate and the amount. This is the record you check against the pool bill at the end of the month.

Usage starts and ends by itself#

When an order with a chassis assigned is picked up, a usage record opens with that moment as the start. When the order is completed — the point where the chassis becomes available again — the record closes and the days and amount are calculated. You can also end a record early from the order page or from the usage list. Days are counted per calendar day in your organization’s timezone: the start day and the end day both count, and a same-day trip counts as 1 day. Pools bill by local calendar day too, so if your numbers differ from a pool bill, first check that your organization timezone is set correctly.

Set the source pool and the daily rate#

On the Chassis page, set each chassis’ source pool when you add or edit it — that pool is copied onto every usage record for the chassis. On the Chassis Usage page, the “Pool daily rates” section sets one default daily rate per pool; the rate is copied onto a usage record when it starts, so changing a rate later does not change records that already started. If one trip has a special rate, edit that record and change its rate — its amount is recalculated.

Fix a record, or add one by hand#

  • Edit: change the start, end or daily rate on a finished record and the days and amount are recalculated. A record whose fee is already on a bill cannot be voided — settle that fee with finance first. Editing a finished record changes only the days and amount in this ledger — a bill that has already been generated will not change with it, so bill adjustments go through Finance at monthly settlement.
  • Add by hand: use “New usage record” when a chassis went out without an order event — pick the chassis, the order if any, the container number and the start time. If the chassis already has an open record, the system tells you which order is using it and asks you to end that record first.
  • Void: a wrong record can be voided instead of deleted — it stays in the ledger marked void and no longer counts in totals.

Check the pool bill, pool by pool#

In the “Pool bill check” section, pick the billing period. The table totals, per pool, how many records you have, how many days the finished records add up to, and your amount. Type the days and amount from the pool’s bill into the two bill columns: the difference columns turn red whenever the pool billed more (or less) than your ledger says. Records still open — chassis still out — are counted separately and are not in the days yet, so wait until they come back before treating a difference as an error. When a difference is real, open the usage list filtered by that pool and compare trip by trip.
