AP: accounts payable bills (BILL-)

Last updated 2026-10-14

Record bills from vendors, track draft → sent → partial / overdue → paid, and see what you still owe with the open filter.

AP stands for accounts payable — money you owe to others. When a vendor sends you a bill (for rent, carrier fees, supplies), you record it here with an amount and a due date, then track it until it is fully paid.

Record a bill in 4 steps#

  1. Open Accounting → Bills and create new: pick the vendor, set the issue date and the due date from the paper bill.
  2. Add line items and tax; the subtotal, tax, and total are summed automatically.
  3. Save as draft — the bill number BILL- is assigned automatically.
  4. Move draft → sent when the bill is confirmed and entered in your books.

The status machine#

  • draft → sent: confirmed and entered in the books.
  • sent → partial → paid: payments are recorded against the bill; partial and paid are derived automatically, never set by hand.
  • Any live status can go overdue when the due date passes with a balance remaining; void cancels the bill.

What you still owe#

  • Filter status = open to see every bill not fully paid yet (sent / partial / overdue) — your current payables list.
  • Record each payment against the bill (amount, date, method) until the remaining balance is zero.
AP mirrors AR: the same screens and the same status logic, only the direction is reversed (money going out instead of coming in).
