Carrier Portal: Dock Appointment Inbox and Assigning Drivers
See the dock appointments warehouses confirmed for your company, assign or reassign a driver for each one, keep your driver list up to date, and follow who confirmed, who declined and what needs a new driver.
When a warehouse confirms a dock appointment that names your company as the carrier, it lands in Carrier Portal → Appointments. The inbox is grouped so you can work it at a glance: “Needs a driver”, “Waiting for driver”, “Driver confirmed”, “Done” and “Cancelled”. Each card shows the appointment number, the warehouse, the time window and what the truck is coming for. You only ever see your own company’s appointments.
Assign a driver#
- Open an appointment in “Needs a driver” and click “Assign driver”.
- Pick the driver from your driver list — or, for a one-off, type the driver’s name and mobile number under “Or enter manually”. Add the truck plate, and the trailer or container number when you have them.
- Click “Assign”. The driver is notified right away — in the driver app if they have an account, otherwise by text message with a personal confirm link — and the card tells you the time by which they should reply.
When the driver accepts, the card moves to “Driver confirmed” and the warehouse sees the same driver and plate on their side. If the driver declines, the card comes back to “Needs a driver” and shows the reason the driver gave, so you can pick someone else with “Assign driver”. Assigning a different driver at any point is a reassign: the first driver’s link stops working the moment the new assignment is made.
Keep your driver list in “Drivers”#
Carrier Portal → Drivers lists every driver registered under your company. “Add driver” asks for a name and, ideally, a mobile number — the number is how a driver without an app account receives the confirm link. Drivers with an app account are marked on the list; everyone else confirms by the text-message link, and both work the same from your side.
No portal account? No problem: when a warehouse confirms an appointment for a carrier that has no portal users yet, the confirmation email to the carrier’s contact address includes an assign link. Opening it shows just that one appointment and the same assign form — no sign-in needed, and the link stops working once it has been used or the appointment is reassigned.
