Gate Check: Compare the Truck at the Gate With the Booking

最終更新 2026-10-30

How to check a vehicle at the gate: add the gate photos, type what you see on the plate, trailer and seal, read the three results, and decide what to do when a number does not match.

When a truck arrives, the gate check lets you put the booking and the vehicle side by side: the plate number, the trailer or container number, and the seal number from the booking, next to the photos you took at the gate and the numbers you read off the vehicle. Open the appointment in your warehouse console and expand its details — the gate check sits in the same place you work the appointment from. Nothing in the gate check ever changes the booking by itself: the booked numbers only change when you decide to correct them, and the original numbers always stay on the check record.

How to run a check#

  1. Add the gate photos: pick what each photo shows (plate, trailer, seal, or the vehicle condition) and paste its link. Condition photos are kept as evidence only.
  2. Type the numbers exactly as you see them on the vehicle, next to the booked numbers. If you are not sure you read a number right, tick “Not sure” for that number.
  3. Tap “Compare”. Yardor lines each number up with the booked one. Only look-alike characters still count as the same number — a letter O read as a zero, or an I read as a one, plus spacing and hyphens. Any other difference counts as a mismatch, even a single different digit or a number that is one character longer or shorter — and seal numbers are the strictest of all.

The three results#

  • All numbers match: everything lines up. Tap “Confirm entry” when you are ready — the confirmation is always yours; the system never lets a vehicle in on its own.
  • A number does not match: entry cannot be confirmed until you decide. You must pick one of the three options below and add a reason — the decision and the reason stay on the record.
  • Not sure — hint only: a number you marked unsure is only a hint. Type the number yourself; what you enter is what counts, and the hint never overwrites the booking.

When a number does not match: the three choices#

  1. Let through on the booked numbers — you checked the vehicle yourself and the booking stands as written (for example, the photo was blurry but the plate on the truck is the booked one). A reason is required.
  2. Correct the booking to what is at the gate — the booking has a typo and the vehicle in front of you is the right one. Check the corrected numbers (they start from what you read at the gate), add a reason, and save: the booking is updated, and the original numbers stay on the check record and in the appointment timeline, so anyone can see what changed and why.
  3. Refuse entry — the vehicle is not the one booked and should not come in. Add a reason; the refusal stays on the record, and your team handles the booking itself (reschedule or cancel) as usual.
