Auto-Approval: Let Straightforward Bookings Confirm Themselves

最終更新 2026-10-30

Turn on auto-approval so carrier bookings that pass your rules are confirmed automatically — and learn how to read the checklist card on the ones that still come to you.

Every carrier booking normally waits for someone on your team to confirm it. With auto-approval on, Yardor checks each new booking against a fixed set of rules the moment it arrives: if everything passes, the booking is confirmed on the spot and the carrier gets an “auto-approved” email that says it was approved under your facility policy. If anything does not pass, the booking simply waits for your team as before — nothing is ever declined automatically.

How to turn it on#

  1. Open Settings in your warehouse console and find the “Auto-approval” section. It is off by default — nothing changes until you turn it on.
  2. Review the rules. Each rule can be switched off except the blocklist rule: a carrier your facility has blocked, or one frozen by the platform, is never auto-approved, and that rule cannot be switched off.
  3. Optionally tell Yardor which extra fields a booking must include (for example a reference number or truck number), and which special jobs your facility can handle (refrigerated, hazmat, and so on). Then flip the switch on and save. Every save creates a new policy version, and each booking records the version it was checked under.

What the scorecard thresholds mean#

One rule looks at the carrier’s track record with you: their trust tier and their no-show, late and cancellation rates over the last 180 days. The standard preset auto-approves carriers rated Established or above whose no-show rate is at most 5%, late rate at most 25% and cancellation rate at most 30%. A carrier with fewer than 10 completed appointments does not have enough history yet, so their bookings always come to your team. On the free plan the standard preset applies; paid plans can pick a stricter or more lenient preset and limit auto-approval to chosen relationships.

Reading the checklist card on a booking that came to you#

Open the booking’s details in the Appointments queue. The auto-approval card lists, in plain words, exactly which check did not pass, the value that was seen, and the threshold it was compared with — for example “no-show rate 8% · threshold 5%”. Those lines are the system’s own findings and are never rewritten. If an “AI summary” appears, it is labelled as such and only rephrases those same findings. Special needs spotted in the booking notes (for example “needs refrigeration”) are flagged on the card too, and highlighted in the booking details. Confirm, propose another time, or decline exactly as you do today — an auto-approved booking can also be proposed or cancelled by your team any time before check-in, just like a manually confirmed one.

Spot checks: the review list#

To keep auto-approval honest, a random sample of auto-approved bookings (10% on the free plan) is listed for a second human look. Open Reports and find the auto-approval review section: sampled bookings appear there, and if you find one that should not have been approved, mark it as wrongly approved. Those marks feed the accuracy figures shown with the list — the auto-approval rate, how often a human later cancels an auto-approved booking, and the wrongly-approved rate — so you can tell whether your thresholds are set right.
